VDOE STUDENT RECORD COLLECTIONS

The Virginia Department of Education (VDOE) requires school divisions to report certain information on students three times a year. The reports below are generated from this information by VDOE.

DIVISION SUMMARY: Full Time Student Enrollment by Grade by Gender and Ethnicity

The following reports reflect the active full time student enrollment for Prince William County Public Schools (PWCS) as of September 30 of each school year.  Students who receive special services (i.e., preschool speech, etc.) on a part time basis are not included in these counts.

Note: 

  • PWCS launched countywide full-day kindergarten beginning with school year 2007-2008.  As a result, there are no Kindergarten AM (KA) or Kindergarten PM (KP) students included in this report. 
  • PWCS does not offer Junior Kindergarten (JK) or Transitional 1st Grade (T1) services.
  • Test Takers (TT) are students who have completed course work, but have not passed one or more Standards of Learning (SOL) tests required for graduation.  There were no TT students enrolled during this reporting period.
  • A student with the grade of  Post Graduate (PG) has previously received a Special Diploma, Modified Diploma or General Equivalency Diploma (GED), is still of age to receive public education services and wishes to continue their education in an effort to be awarded a Standard, Advanced Studies or International Baccalaureate Diploma.

Limited English Proficient (LEP) Students by Grade and Language Spoken

Students who were identified as LEP students as of September 30 of the current school year are represented in the following report.  This includes students who:

  • were receiving English for Speakers of Other Languages (ESOL) services as of September 30 of each school year,
  • have been identified as LEP but have chosen not to receive services,
  • have received ESOL services in the past and are on monitor status, and
  • have a first or second year post monitoring status.

Final Report of Dropouts

The following tables include data on 7-12th grade students who have dropped out of a Prince William County school. 

A dropout is defined as a student who:

  • was enrolled at some time during the previous school year, has withdrawn, fails to transfer to any other secondary education program, and also fails to re-enroll by Oct 1 of the current year.  Even if this student enrolls after Oct. 1 he/she will still be counted as a dropout if there is no record of transfer from another state-approved secondary education program*.  Or,
  • ends the previous school year active and fails to enroll again by October 1 of the current school year and for whom there is no record of transfer to another state-approved secondary education program*.  Or,
  • ends the previous school year withdrawn due to long-term suspension and fails to return when the term of suspension is over and for whom there is no record of transfer to another state-approved secondary education program*.

*State-approved secondary education programs include public schools, private schools, home schooling, charter schools, and overseas Department of Defense (DOD) schools.  Also included are special education and GED programs that are administered by a secondary education agency.

Note:  A dropout is reported as a dropout for the grade and school to which they fail to report.  For example, an 8th grade student who ended the previous school year active at Lake Ridge MS and is expected to attend Woodbridge HS in the current year will be counted as a drop out in the 9th grade at Woodbridge HS if he does not report by October 1, assuming there is no record of a transfer.

Students who dropout during the previous school year but are re-enrolled by October 1st of the current school year are not reported as dropouts.

Data for every student who completed a state-approved course of study (completers) in Prince William County Public Schools are reflected in these reports.

Graduation Rate

These reports show the graduation rate and completion rate for PWCS as calculated by the Virginia Department of Education (VDOE).  Students who are awarded a Standard Diploma, Advanced Studies Diploma, or IB Diploma are considered “graduates.”  Completers include graduates and students who are awarded a Special Diploma, Modified Standard Diploma or a General Equivalency Diploma (GED).

Formulas used in calculating the graduation and completion rate are provided.  The following is an explanation of how the graduation rate is calculated.

Graduation rate - Graduation rates for high schools and school divisions reported on the Virginia School Report Card include all recipients of any type of certificate or diploma (as well as students who have dropped out of or transferred into a high school) in the denominator and only those students receiving a Standard Diploma or Advanced Studies Diploma (excluding students receiving a Special Diploma, Modified Standard Diploma, or GED certificate) in the standard number of years in the numerator.
