Supply services staff loading a truckSupply Services' Receiving section is tasked to receive materials delivered to PWCS via the Distribution Center.

We ensure accuracy of shipments of supplies that will be sent to schools and offices, including filters for schools and offices, and items for the Food Services Office.

We also receive and distribute special orders.

After unloading trucks, we record quantities and report discrepancies and damage of goods so that the vendor can make corrections.

When Receiving handles equipment over $500.00 per unit, it is given an inventory tag which is then reported to Property Control and sent to the school/office via Supply Services drivers or couriers.

Special orders - Example: when schools or offices cannot accommodate a large delivery at their location, it can be routed to Supply Services Receiving section for subsequent distribution via drivers. The Receiving staff will work with the school or office representative to ensure that the shipments are complete and meet specifications before final delivery.

If a principal or office administrator would prefer to have a shipment delivered through the warehouse instead of having it shipped directly to their buildings, it is easy to arrange. All that is required is to put the appropriate address in the "Delivery Address" of the purchase order (Type "042" for the agency designator); and send a copy of the purchase order to Supply Services. The receiving staff will work with the school or department representatives to ensure that the items are complete and meet the specifications of the purchase order before forwarding the item to the final destination.

Receiving staff handle shipments from UPS and other overnight mailers as well as truck freight. Approximately 4,500 orders are received annually with many of them having multiple and partial deliveries.

About 50% of the orders have problems that require time consuming special attention from the staff. In addition to the receiving of materials, the section is responsible for packing and shipping materials for offices at Independent Hill. During busy times it is not unusual to see two or three semi-trucks waiting to be off-loaded at the docks.
