Student-Athlete Participation Requirements

To participate in any athletic activity, all PWCS student-athletes must:

The online athletic registration and Student-Athlete Education must be completed together by the student and a parent/guardian. All student-athlete participation requirements are submitted through the online athletic registration process.

Student-Athlete Registration

To participate in PWCS athletic programs, all student-athletes must have completed online athletic registration.

This online athletic registration process is crucial as it helps us maintain accurate records, ensure the safety of our athletes, and comply with policies and regulations.

Online Athletic Registration Instructions

Instructions for completing the online athletic registration

Step 1 - Create an Account

A parent/guardian must create an Arbiter account. If you already have created an account, skip to step 3.

  • Only one account is needed for families with multiple students.
  • Students should not create Arbiter accounts.
  • New accounts do not need to be created each school year.
Step 2 - Verify Account

After creating your Arbiter account, check your email for an activation link (be sure to check your junk/spam folder if you don't receive it within 1-2 minutes) and click the link to activate your account.

Step 3 - Find Program

Once your account is activated, log in and go to the "Find Program" section.

  • Search for Your School: Enter your school name and state to locate the appropriate program.
  • Select the Program: Choose the "School Name Athletic Registration 2025-26" program from the search results.
Step 4 - Complete the Registration

Follow the prompts to complete the registration process. Make sure to fill out all required information accurately. The registration process must be completed with a parent/guardian and the student.

  • The parent/guardian and the student must review important Student-Athlete Education information and sign a statement acknowledging receipt to participate in any athletic activity.
  • An electronic version of the student's current sports physical form must be submitted during the online registration.

Student-Athlete Education

Student-Athlete Education, formerly known as concussion education, must be completed annually as part of the online school athletic registration process. This education informs student-athletes and their parents/guardians about health-related topics, including concussion, heat-related illness, and sudden cardiac arrest.

Virginia law mandates that both the student-athlete and a parent/guardian review this information and sign a statement acknowledging receipt to participate in any athletic activity. Families with students participating in multiple sports only need to complete this education once each school year.

In-Person Student-Athlete Education (optional)

Middle and high school students trying out for a sport for the first time or who are new to PWCS may attend an in-person student-athlete education session with their parent/guardian.

Take note of start times for in-person education. Plan to arrive early and stay to complete the entire session. Doors will be closed once the session begins. Late arriving parents and students may not be permitted in the education once it has started.

In-person education schedules are subject to change. Parents and students are encouraged to visit their school's websites to verify scheduled education dates.

All high school students can complete the student athlete education requirement through the online education course.

Sports Physical

Student-athletes must have a physical examination by a health care provider and have permission from the health care provider and parent/guardian before the participant may engage in any sport.

The sports physical must be completed and signed by the student, parent/guardian, and health care provider attesting that the student has been examined and found to be physically fit for athletic competition.

The form must be submitted electronically during the athletic registration process for the student.

Sports Physical Updates for the 2025-26 School Year

  • There are new forms used for middle and high school sports physicals.
    • High school form (VHSL) says revised April 2025 in the top left corner.
    • Middle school form (PWCS) says revised May 2025 in the top left corner.
  • Sports physicals using the new form will be valid for 14 months. Please be aware that expiration dates may be in the middle of a sports season.
  • Schools will no longer accept paper sports physical forms; only scanned/digital copies will be accepted.
